A group enjoying time together outdoors

The Colorado company retreat planning guide

Bring your team together.
Make the time count.

A private house. A purpose worth gathering for. Enough room in the day for the conversations that don’t happen at the office.

Here’s how to plan a company retreat around focused work, shared experiences and a great evening together.

The quick answer

Start with one shared goal. Choose a Colorado retreat house that fits your team’s rooming needs, then build the day around a focused work session, an optional shared activity and dinner together. Confirm the stay, meals and transportation in one clear plan.

Picture your retreat

A little structure.
A lot of room to connect.

Use this as the shape of a full retreat day between arrival and departure. The best schedule leaves space for your actual team.

Morning · Find your focus

Get everyone around
the same table.

Start with coffee, breakfast and one question worth answering together. Agree on priorities, work through a challenge or give a newly formed team time to get to know each other.

Keep the main session focused. Share background reading ahead, choose a facilitator and decide what you want to leave with.

Make it useful: confirm seating, Wi-Fi and any presentation equipment before booking. A welcoming room and the right work setup both matter.

Afternoon · Change the pace

Give the team something
to talk about later.

Follow the work with something people can enjoy together. A friendly game, a neighborhood outing or a little Colorado adventure can change the energy of the day.

Explore our Colorado group activity ideas for inspiration, then check seasonality, availability and everyone’s comfort level.

Keep it welcoming: make participation optional and offer an easygoing alternative. Connection shouldn’t depend on athletic ability or drinking.

Evening · Settle in together

Let dinner turn into
a good evening.

Bring everyone back for an in-house culinary experience, relaxed conversation and time to enjoy the house. Leave space for a game, a team toast or simply catching up.

For colleagues staying overnight, the house becomes a shared home base. Confirm room assignments beforehand so everyone knows where they’ll be sleeping.

Finish the work first: capture decisions and next steps before dinner. Let the evening feel like time together.

The organizer’s short list

Six decisions. One clear brief.

Get these answers together before you book. They give your team a useful plan and help us recommend the right arrangements.

  1. What are we here to accomplish?

Choose one main outcome, the people who need to be there and someone to guide the work.

  2. Who’s visiting, and who’s staying?

Separate total attendees from overnight guests. Ask privately about room sharing, accessibility and sleeping preferences.

  3. Which dates and how many nights?

Allow for arrival and departure. Check availability before asking everyone to commit to travel.

  4. What’s our approved budget?

Set a total for the house, selected meals, travel and activities. Confirm inclusions in the quote. Gratuity is optional and not included.

  5. What makes the day work?

Confirm seating and technology, food preferences, dietary needs, activity choices and transport timing.

  6. What happens when we get home?

Assign owners and due dates before departure. Send a short recap and schedule a follow-up to keep progress moving.

15 company retreat planning FAQs

What is the first step in planning a company retreat?

Agree on one main outcome with the person approving the retreat. Then identify the people, budget, dates and rooming needs required to make that outcome possible.

How far ahead should we plan?

Eight to twelve weeks or more is a useful planning starting point, not a booking requirement. Fixed dates, larger groups and complicated travel may call for more lead time. Check availability before promising dates to the team.

How long should a company retreat be?

Work backward from the outcome and travel time. A focused team may need one full working day, while more involved planning can require additional sessions. Include arrival and departure time when deciding the length of the stay.

What belongs in a retreat budget?

Include lodging, selected meals, employee travel, local transportation, equipment and activities. Separate what is already included from optional additions and individually arranged expenses, then get approval for the full plan.

Can every employee have a private bedroom?

That depends on the property and group. Sleeping capacity does not equal private bedroom count. Define your company’s rooming requirements first, then confirm the actual bedroom and bed layout before booking.

Should daytime attendees be included in our request?

Yes. Share both the overnight count and the total number attending during the day. Confirm the property’s approved arrangements rather than assuming daytime capacity from its sleeping capacity.

How do we choose between Denver and Evergreen?

Start with travel plans, the setting your team wants and the agenda. Compare the specific homes in our corporate retreat guide, then confirm transport and rooming needs for the shortlisted property.

What meeting equipment should we confirm?

Ask about seating, display connections, sound, internet needs and any video-call requirements. Confirm compatibility with your own devices and the room you plan to use before relying on it for a critical session.

How much of the day should be scheduled?

Reserve focused blocks for the main work and leave breaks between them. Put important decisions before optional social time. A shared meal and downtime can support connection without filling every hour.

How do we keep team activities inclusive?

Ask about participation needs privately, offer alternatives to strenuous activities and avoid making alcohol central to participation. Confirm accessibility and suitability for each planned activity and location.

Can we arrange meals through Experience Guide?

Yes. Explore our in-house culinary experiences and share your meal times, headcounts and dietary needs. Your quote confirms the menu, service and inclusions selected for the retreat.

Can you help with airport transfers and group outings?

Discuss chauffeured transportation with the team. Share flight times, passenger numbers, luggage and routes so vehicle and scheduling needs can be confirmed.

Does booking a retreat include a meeting facilitator?

Do not assume facilitation is included. Assign someone from your team or arrange a facilitator separately, and confirm any requested support in writing. Lodging and hospitality services are distinct from ownership of your work agenda.

What should we send attendees before arrival?

Share the purpose, agenda, pre-reading, arrival instructions, packing notes and organizer contact. Communicate individual room assignments privately and make clear which activities are optional.

How do we make the retreat useful after we get home?

Before leaving, record decisions, action owners and due dates. Send a short recap within a week and set a follow-up meeting to review progress. Ask attendees what helped and what should change next time.
